We Are Hiring: Director of Finance and Operations

The Role

Resolve Philly, founded in 2018, a new kind of local newsroom, one that is a model for the future, designed for community impact and rooted in collaboration. We center our editorial work around news and information that is for and with those who have been long harmed by traditional media narratives. We are committed to deep community engagement, maximizing access to news and information for all, providing comprehensive coverage of critical issues through collaborative reporting, and understanding the information needs of communities across Philadelphia in order to produce relevant and impactful stories. 

What You’ll Do

Resolve’s Finance and Operations Director will guide the organization’s operational and financial processes to ensure smooth collaboration and efficient, mission-aligned workflows. You will support in compiling and managing the organization’s budget, alongside the Executive Director. Currently, Resolve Philly works with Your Part Time Controller ( YPTC), who provide the org with both a controller and a bookkeeper. In the short term, this position will be the primary liaison with these two external people. Overtime, we aim to bring most of these duties in house and plan to significantly reduce our reliance on any outside firm. This role would, as well, supervise the operations of our 12-person team. You’ll steward operational policies and procedures and serve as a thought partner and leader in the continued execution of Resolve’s financial planning and reporting. 

Budget and Finances 

  • With the executive director, develop the yearly budget and quarterly budgets as needed, and consider year-end projections as needed.
  • Manage the budget in association with Resolve’s controller and bookkeeper (currently staff via Your Part-Time Controller, YPTC) and provide accurate and timely financial projections, including cash flow, for the organization 
  • Work closely with Resolve’s bookkeeper to reconcile monthly reports as needed. 
  • Take corrective action as needed to ensure a stable budget outcome. 
  • Oversee the yearly audit and 990 preparation
  • Sit on the Finance Committee and provide support to the Board of Directors 
  • Provide budgets for foundation proposals and for grant reports as needed. 
  • Assist in reports to foundations as needed.
  • Develop internal financial/accounting policies and procedures

Operations

  • Ensure that Resolve is in compliance with all state and federal laws and requirements regarding HR.
  • Maintain all other tax and regulatory compliance on behalf of the organization.
  • Maintain responsibility for team onboarding and off-boarding  
  • Serve as the point person for staff on HR issues and questions. 
  • Ensure that performance reviews are completed in a timely manner and that all employee personnel files are current. 
  • Coordinate Resolve’s in-person space options and plan (we are currently letting go of our office space lease but would like to find a minimal co-working or other space for the team to be able to be in person together up to 4x per month).
  • Maintain Resolve’s employee handbook.
  • Oversee payroll management. 
  • Monitor employee benefits and ensure that all benefits including the 403(b) and health savings account are properly administered.
  • Liaise with attorneys, accountants, and other professional service providers.

Who You Are

  • You have a minimum of 7+ years of experience in finance and operations, or comparable experience. Preference is for experience with 501(c)(3) organizations
  • You are deeply committed to racial, social, and economic justice; you approach your work with grace, humility, openness, and curiosity.
  • Proven experience managing budgets of greater than $1M
  • You are an excellent project manager, highly organized, and able to execute tasks with timeliness and efficiency.
  • You work well independently but enjoy being part of a team.
  • You are very capable and comfortable with understanding and leading financial planning, reporting, and accounting processes.
  • You understand that strong relationships are at the core of success in just about any endeavor 
  • You are able to navigate partnerships with grace and efficacy.
  • Excellent organizational and leadership skills. 
  • Familiarity with Quickbooks strongly preferred.
  • Proven experience leading an organization through its annual financial audit.
  • HR experience, including running payroll and managing employee benefits is desired.
  • You are a proactive person, eager to come up with process and practice solutions and see them through to execution.
  • You’re fast to adopt new platforms/tools/technologies (Resolve leans heavily on Airtable and Asana, among others).

This position is full-time. The ideal candidate resides in the Philadelphia area, though we will accept applications from candidates outside the area and will be working remotely.  The salary for this position is $100,000.
